Shift Bid / Sign-On

This article applies to members who wish to sign-on to a shift or bid on a shift as well as Schedulers/Administrators who accept shift bids.

About Shift Bid / Sign-On

The process for shift bid / sign-on will vary depending on the settings within your organization’s eSchedule account.

  • The shift bid feature allows a member the ability to submit a pick-up request for any open shift on the schedule. The member is only able to bid on shifts/positions that they are cleared to work (based on the position clearances set in their member profile).
  • The shift sign-on feature is only available if your organization does not have shift bid turned on. This allows members the ability to sign themselves directly onto a shift without requiring approval.
  • We also offer a ‘hybrid’ option that mixes shift sign-on with shift bid. For example, if a member wishes to sign-on to a shift and doing so will not place their total number of scheduled hours over 40 for the pay week, then the system will allow them to sign-on. If, however, the additional shift will place them over 40 hours, it will default to a shift bid requiring approval by a Scheduler/Administrator.

Signing On to a Shift (Member)

Assumes shift bid is turned off or hybrid shift sign-on is used.

  1. Locate the open shift on the schedule (or use Schedule > Open Shifts).
  2. Click on the shift you wish to sign-on to. Only shifts for which you’re ‘cleared’ to work will be clickable on the schedule.
  3. In the pop-up window, you can elect to alter your sign-on time (if your organization allows for partial shift sign-on).
  4. Click “Sign-on”.

At this point, you will be added to the schedule and you’ll receive an e-mail confirmation. Depending on the settings for your organization, Schedulers/Administrators will be notified via e-mail as well.

Submitting a Shift Bid (Member)

  1. Locate the open shift on the schedule (or use Schedule > Open Shifts).
  2. Click on the shift you wish to bid on. Only shifts for which you’re ‘cleared’ to work will be clickable on the schedule.
  3. In the pop-up window, you can elect to alter your bid time (if your organization allows for partial shift bid). Comments can be entered which can be viewed by a Scheduler/Administrator.
  4. Click “Bid”.
  5. Depending on the settings for your organization, Schedulers/Administrators will be notified via e-mail.
  6. The bid will now appear on the “Schedule > My Bids” screen.
  7. In the event a Scheduler/Administrator approves or rejects your bid, you will be notified via e-mail and/or text (assuming shift bid notifications are turned on within your member profile).

Canceling a Shift Bid (Member)

  1. Navigate to “Schedule > My Bids”.
  2. In the row that contains the shift bid you wish to cancel, click “Go”.
  3. Depending on the settings for your organization, Schedulers/Administrators will be notified via e-mail.
  4. The status of the bid will change from “pending” to “canceled”.

Accepting/Rejecting a Shift Bid (for Schedulers/Administrators)

  1. Navigate to “Schedule > My Bids”.
  2. In the row that contains the shift bid you wish to work with, choose “accept” or “reject” in the pull-down. You can enter comments which will be sent back to the member.
  3. Click “Go”.
  4. If multiple bids were submitted for the same shift, eSchedule will allow you to reject multiple other bids while accepting one.
  5. At this point, all involved members will be notified via e-mail and/or text (assuming shift bid notifications are turned on within their member profiles).
  6. The schedule automatically gets updated with the approved shift bid.
