This article is for Administrators and members that have been granted the “Training Coordinator” role.

About Certifications

The “Certification Tracking Module” must be activated within your organization’s account.

  • Certifications are anything with an expiration date that you wish to track.
  • You can enter as many certifications as you’d like within your member’s profiles.
  • Certifications cannot be uploaded, edited or deleted by members.
  • Members can view their certification names, expiration dates as well as any digital scans/uploads that may exist.

Adding a Certification

  1. Navigate to the member’s profile (via “Administration > User Management”).
  2. Scroll down to “Certifications”.
  3. Select the certification name in the pull-down. To add a new certification type, see this article.
  4. You must enter a date in the “Expires” field.
  5. To enter multiple certifications at a time click the “+” icon next to “New Certification”.
  6. Click “Update” at the bottom of the page.
  7. Note: the following fields are not required, but are available, to be attached to any certification entry:
    • Issued – the date the certification was issued.
    • Certification Num – a certification number or any notes you wish to enter.

Uploading a Certification File

  1. Navigate to the member’s profile (via “Administration > User Management”).
  2. Scroll down to “Certifications”.
  3. Click “Upload”.
  4. Click “Choose Files”.
  5. Select the file(s) you wish to upload. You are able to select multiple files at a time to upload.

    Note: Any file type will be accepted. .JPG or .PNG are recommended. These file types are viewable via the “Download” button within the Certifications section of the member profile. Other file formats may not be viewable. Please note that members will be able to view/download/print uploaded certifications assuming the file format is acceptable.
  6. After you select the file(s), you will see “2 files selected” next to the “Choose Files” button. The number listed here is the number of files that are pending upload.
  7. Click “Continue”.
  8. Associate each uploaded certification with the correct certification name.
  9. If an Issued Date, Exp Date or Certification Num already exist for the chosen certification name, they will automatically display.
  10. Make any necessary updates to the Issued Date, Exp Date or Certification Num fields. Important: You must enter an expiration date in order for a certification to properly upload and be associated.
  11. Click “Submit”.
  12. You will see a confirmation message or an error message if there were any issues with your upload.
  13. Verify that the uploads were appropriately associated by viewing the member profile. If the upload was successful, you will see two icons under “File”, next to the certification.

Deleting an Uploaded File

  1. Navigate to the member’s profile (via “Administration > User Management”).
  2. Scroll down to “Certifications”.
  3. Locate the “delete” file icon next to the certification that you wish to delete.
  4. Click “Ok”.
  5. This will only delete the uploaded file. It will not delete the entire certification from the member’s profile.

Deleting a Certification

  1. Navigate to the member’s profile (via “Administration > User Management”).
  2. Scroll down to “Certifications”.
  3. Next to the certification that you wish to delete, check the box under “Delete”. Note: You can delete multiple certifications at a time.
  4. Click “Update” or “Update and Close” at the bottom of the member profile.
